Hello and welcome!
In this guide, we will walk you through the process of managing modules and paid services for your sub-organisations. We will cover:
- Modules and Services on Virta Hub
- How to Manage Modules
- How to Manage Paid Modules and Services
Let's start!
1. Modules and Services on Virta Hub
Each organisation has access to a set of modules and sub-modules that define the functionalities and services available. These modules impact the actions that different roles within the organisation can perform. It is important to note that only a parent organisation can manage modules and paid services for its sub-organisations, not for itself. Additionally, a parent organisation can only enable the modules and services it already has for its sub-organisations.
Note:
Some paid services, such as Virta Priority, Virta Preconnect, are managed on the Virta Hub but are visible in Energy. If you need to remove these services, please make sure to deactivate them in Energy first to avoid continued billing.
2. How to Manage Modules
Prerequisites
To manage modules and services, they must be enabled for the parent organisation.
Additionally, you will need to have one of the following roles: Administrator, Driver Manager, Charging Manager, or Paid Module Activator. These roles are required to manage modules for sub-organisations. Module management can be done during the organisation creation process or after it. When creating an organisation, you can select a subset of your own modules to grant access to the new organisation.
- To manage modules on Virta Hub, you will click on your organisation name to access to your organisation tree.
- Then, locate and select the sub-organisation you want to manage. Next, navigate to the "Organisation" tab and click "Modules and services". Here, you will see the summary of modules and services.
- Under the "Available actions" section, select "Manage modules".
Here, you can select and edit the modules, which define the features accessible to the organisation's members, filtered by their roles. - Click on the check box next to each module you want to enable for your sub-organisation.
- Once happy, click "Save changes". A summary view will appear, showing the changes you have made. If, for any reason, you want to restrict access to specific modules, you can effortlessly revise and modify access to modules to align with your organisation's requirements.
You will now be able to see the added modules on the summary view of the organisation.
3. How to Manage Paid Services
1. Roles Required
Only users with the Administrator or Paid Module Activator roles can enable paid services for sub-organisations.
2. Hierarchical Requirements:
A parent organisation must have the paid services enabled before activating them for its sub-organisations.
3. Activation Process:
To manage paid modules and services on Virta Hub:
- You will first log in to Virta Hub and then click on your organisation name to access your organisation tree.
- Then, locate and select the sub-organisation you want to manage. Next, navigate to the "Organisation" tab and click "Modules and services". Here, you will see the summary of modules and services.
- Under "Available actions, select "Manage Paid services". Click "+Add" next to each service you want to enable.
- A toggle will appear, allowing you to enable services for all sub-organisations under the selected parent organisation. This saves time if you want uniform access across the organisation tree. Once happy, click "Save changes" and confirm by selecting "Yes, I confirm" when prompted.
Note:
Please ensure the paid services are activated only for sub-organisations covered under their respective contracts. Activating paid services incorrectly can lead to additional charges.
How can I know which roles have permissions for certain modules and services?
To see a detailed table of all roles and permissions according to modules, please read the Roles description article.
What if adding modules or paid services to my sub-organisations fails?
Contact the organisation that provided the modules or paid service(s) to your organisation for support.
That's it, you now know how to manage moduels and paid services for your sub-organisations effectively.
