1. Understanding EV Driver Groups
EV Driver Groups on the Virta Hub allow you to group drivers according to specific criteria and assign them certain platform capabilities. These groups are particularly useful for organising drivers based on your operational needs, such as Loyalty tariffs.
Note:
If you are using the Virta Admin Panel, please note that the driver groups managed on the Virta Hub are independent of those managed on the Virta Admin Panel. Adjustments made to the Virta Admin Panel driver groups don’t apply to the Virta Hub, and vice versa.
2. Creating EV Driver Groups on the Virta Hub
To create a new driver group:
1. Log in to the Hub and navigate to Drivers > Driver groups.
2. Click on “Create group” under the "Available actions" menu.
3. If necessary, select the organization for which the group will be created.
4. Enter a group name and an optional description.
5. Click “Create driver group” to save the group.
You’ll now see the newly created group listed on the Driver Groups page.
3. Manage and Updating Driver Groups
3.1 Managing Driver Groups Based on Organizational Structure
On the Virta Hub, you can create EV driver groups at any structural level within your organisations that have driver access.
For example:
The parent organisation can create a group that includes drivers from all sub-organisations.
- Parent organisation 1
- Sub-organisation 1.1
- Sub-organisation 1.2
Each sub-organisation can then tailor groups specifically for its drivers. According to Virta Hub general access rules, in the above-mentioned example, Parent organisation 1 can create a group called “Parent group 1” that contains drivers from both sub-organisations 1.1 and 1.2. The sub-organisations 1.1 and 1.2 can create groups specific to their drivers.
3.2 Adding Drivers to Groups
To add drivers to a group:
1. Navigate to Drivers > Driver groups.
2. Select the desired group and click “Manage group” under the "Available actions" menu.
3. Click “Add drivers to group” and select the drivers you want to include.
4. You can filter drivers by ID, name, email address, or organization to find the right ones quickly.
3.3. Ensuring Visibility and Privacy
As an Administrator of a sub-organization, you can check if the drivers are part of any larger parent group.
Sub-organisations can create groups specific to their drivers. Drivers can be members of multiple groups at the same time. If a driver from your organisation also belongs to another organisation's group, you'll see the group's name, description, and the number of drivers but not the details of drivers from other organisations.
Visibility Example:
Considering the above-mentioned scenario, sub-organisation 1.1 can view its drivers' membership in “Parent group 1”, including the group's name, size, and description, but not the individual details of drivers outside their organisation.
3.4. Utilising EV Driver Groups
To leverage EV driver groups for specific features, such as Loyalty tariffs, follow these straightforward steps:
- Create a new driver group or select an existing driver group
- Add desired drivers to the group
- Assign a Loyalty tariff to the group
To assign a Loyalty tariff to a specific driver group, follow these easy steps:
1. Navigate to the Organisation tab and select Loyalty plans.
2. Select an existing Loyalty plan or create a new one. (For details on creating a new plan, read more here).
3. Once you've selected the loyalty plan, click Edit Plan under "Available Actions" on the right side. This will direct you to the Edit Loyalty Plan page.
4. Under Driver membership, select the Driver groups.
5. From the Select driver group dropdown menu, select the appropriate driver group, then click Continue and Publish Loyalty Plan.
The driver group will now be updated in the group information. You can easily update the group by adding or removing drivers as needed.
Note:
Please note that if you don’t see the Loyalty plans view under the Organisation tab, your organization may not use the required pricing model. Please contact the Virta Support team to access the required pricing model.
Modify a Group with an Assigned Tariff
To remove drivers from a group with an assigned loyalty tariff, follow these steps:
- Removing an Individual Driver
From the Manage group page view, click the minus icon ("Remove the driver") located on the right side of the driver's information, as shown above.
- Removing Multiple Drivers:
Simply select the drivers you wish to remove.
Under "Available Actions," click "Remove drivers from the group" and confirm the deletion.
4. Deleting a Driver Group
If you want to tidy up your management system or reorganize your driver groups, deleting a group might be necessary. However, deleting a driver group is a permanent action, so it's important to understand what it entails and how to do it properly. Here's a step-by-step guide on how to delete a driver group from the Virta Hub.
Driver groups can be deleted with appropriate user roles.
4.1. Essential Considerations Before Deleting a Driver Group
Before you proceed with deleting a driver group, please keep in mind:
- All Drivers Removed: Deleting a driver group will remove all drivers from that group.
- Access Revoked: Any special functions or privileges, such as Loyalty Tariffs assigned to drivers through this group, will be revoked.
- Permanent Action: Once a driver group is deleted, this action cannot be undone.
4.2. How to delete a driver group
To delete a driver group, follow these simple steps:
- Navigate to Drivers > Driver groups.
- Select the group you want to delete.
- Click "Delete group" under the available actions menu.
- Confirm the deletion when prompted.
Note:
Groups with limited view access
If you only have limited view access to a driver group (meaning the group was created at the parent organization level and you can see but not fully manage your drivers in it), you will not be able to delete the group. Only users with access rights at the parent organization level can perform deletions for these groups.
