How to Add and Manage Drivers on Virta Hub

This guide will walk you through two important steps:

  1. Adding new driver(s)
        How to add a single driver
        How to add multiple drivers
  2. Accessing and editing drivers' information

Let's start!

 

To add a new driver, follow these simple steps:

  • Log in to the Virta Hub and navigate to the "Drivers" tab.

  • At the bottom right corner, click on the "+ Add drivers" button.

You can add drivers individually or import multiple drivers using a CSV file with their information.

Let's start with adding a single driver:

  • Press the "Add a single driver" button, and you'll be directed to the corresponding field.

  • Fill in the required information about the driver's organisation and basic details. Select "Postpaid (by invoice)" as the billing type.

NOTE:
Please ensure that you're adding the driver to the right fleet organisation.

Check the " Send welcome message by email " box if you want the driver to receive a welcome email.

Please note that if you're adding a "Vehicle Account" (account with no functional email), there's no need to select "Send welcome message by email", as the account is already based on vehicle information.
Once you've filled in all the mandatory fields, click on the "Add a new driver" button at the bottom of the page.
The driver will receive a welcome email, where they can confirm their email address and create their password. The email is either Virta-branded or has your logo and colour (Scale and Evolve service levels).

The email will also provide important information such as Virta's privacy policy, subscription details (including who pays for the subscription if a company invited them), a link to download the mobile application, tips on how to charge with the Virta network, cancellation terms, and information about Virta's 24/7 support.

After completing this process, you can return to your organisation page to find the driver's name already added to the list of drivers.

That's it! You have now successfully invited a new driver and added their information to the drivers' list of your organisation.
You might often need to enter multiple drivers into your organisation. Here is how to do it.

How to add multiple drivers

If you add multiple drivers, you can use our provided CSV template for easy data input. The CSV file has the same information fields as the single driver add-on.

  • Press the "Import multiple drivers" button, and you'll be directed to the corresponding field.

You can easily download the CSV template and fill in the required information about your organisation and driver's basic details.

Once you've filled in all the mandatory fields in the CSV file, simply add it to the Import driver data box with drag and drop, or browse it from the local file. 
Press the "Import drivers" button, and that's it. Your driver list quickly updates following uploading the CSV file. 

 

You have now successfully added multiple drivers to your fleet organisation. Now is the time to get to know more about your fleet organisation:

 

2. How to access and edit drivers' information

Once you've added your drivers, you can easily view their information. Just click the "Drivers" tab.

Sometimes, you may have sub-fleet organisations where your electric vehicle (EV) drivers are assigned based on your business needs. For example, in the image below, you can see two sub-fleet organisations (Demo Virta Fleet 1 and 2) that belong to the parent fleet organisation called "Demo Virta Fleet."

To access detailed information about your drivers, simply click on their names in the list to enter their profiles. Let's look at our driver, Lily Baker, as an example.

In the "Basic information" section, you can see the driver's name, email address, role, and the organisation she belongs to. You can also check her balance to see if she uses the service. Please note that payment card information is not visible here, as the payment card is not needed with Fleet.

Below the driver's information, you'll find additional details about the company, such as the external customer reference, which can be helpful for billing purposes.

Under the fleet information section, you can also find details such as vehicle registration plate, leasing contract start date (if applicable), and home charger reimbursement details like electricity price.

You have several options under the "Available actions" section on the right. You can resend the welcome email to the driver, reset their password, or edit their account if necessary.

Under the "Charging activity" section, you can view the driver's charging history. To explore this further, click the "Last 30 days" drop-down menu and set your desired time interval.

By checking the "Charging tags," you can see whether the driver has the charging tag. You can add a charging tag to the account by clicking "Add charging tag."

If you need to order a new charging tag, click "Order charging tag." You'll be directed to a page where you can easily order the Virta charging tag.

That's it! Now you know how to add drivers to your fleet organisations effortlessly. You can also easily access, update, and edit the drivers' accounts.
