This article walks you through adding and managing organisations on Virta Hub.
Once you join Virta, we will create your organisation and invite you to Virta Hub. This article is for you if you need to create a sub-organisation. Sub-organisation comes in handy, for example, when you need to set different prices for different chargers.

Let's start with our different charging station options tailored to your specific needs.
1. Virta public and private stations
1.1. Virta public Stations
These stations are open to all EV drivers. They are listed on our Virta charging stations map, which is widely used by thousands of EV drivers to find your charging points easily. By choosing a public station, you can make your charging point accessible to more users.
1.2. Virta private stations
Private stations are designed for locations requiring restricted access, such as residential or office buildings. If you opt for a private station, it will only be visible on station maps for customers with authorised access. This ensures that only authorised individuals can use the charging point.
By default, all of your chargers are set to be public stations. If you want your chargers as Public stations, you don't have to create any organisation. However, if you want to designate your chargers to be private or organise your charging station in a specific way, you can create a new "pool" or "organisation".
- When you create a pool of chargers, the pricing will be determined by the main organisation to which it belongs. This means the pool you create will have the same pricing as the parent organisation.
- However, if you want to set a different price for a specific set of chargers, you will need to create a new organisation. This gives you more control over the pricing and customises it according to your preferences.
If you need to create a new organisation, here is how to do it:
2. How to create a new organisation
Once you log in to Virta Hub, you will have a general view of the dashboard.
- Navigate to the "Organisation" tab available on the Virta Hub.
- Locate and click the "+ Add organisation" on the bottom right corner of the page.
You will be presented with two options for creating a new organisation:
- By invitation.
- Direct creation.
Choose the option that suits your needs. Let's have a deeper look at each.
2.1. Create an organisation by invitation
This is a good choice when you want your customer to have full ownership of their organisation. It's ideal for a new customer to become a Charge Point Operator, where they will establish their structure within their main organisation. For example, it can also be used when homeowners manage private charging.
When you select the "By invitation" option, the Administrator of the new organisation will be responsible for the associated data. This includes personal data and organisational data.
To invite the new Administrator to create their organisation, you need to provide their email address, select their service level, and choose the parent organisation. The parent organisation determines where the new organisation will be placed within your organisation tree.
The Administrator will be receiving an invitation to create their organisation. They will be responsible for adding their personal and organisational data during registration and when they log into the system. Also, if the parent organisation has a settlement process enabled, they are required to fill in billing and settlement information for their new organisation.
2.2. Create an organisation directly within the platform
The "Direct creation" option is perfect when you simply want to create structure within your business organisation without involving additional individuals. This option works well for scenarios like dividing your organisation into country- or area-based segments. It is also used by businesses that prefer to manage their customers' organisations themselves. Direct creation allows you to invite customers with limited access to specific basic actions.
When filling in the basic information of the new organisation through Direct creation, you have two options: Business or Individual:
- If you choose the Business option, you'll need to provide the information about the company. This includes the full name of the company, its address, the country it's based in, etc.
- Alternatively, if you opt for the Individual option, you'll focus on the main contact person for the organisation. You'll need to provide their full name, email address, phone number, preferred language, and address details, etc.
When using Direct creation, you will still be responsible for the new organisation and its data. You will need to select the service level and parent organisation for the new organisation. Additionally, please provide any other required information for basic identification purposes. Once you have completed the creation process, the organisation will be automatically added to your organisation tree.
After entering your organisation information, locate the "Continue to organisation contact information" button at the bottom right of the page. Click on it to proceed.
Now, it's time to introduce your go-to person within your organisation. This individual will be in charge of handling all organisational and operational communications. Please provide the email address, phone number, and preferred language, then hit "Continue to settlement information."
Next, you'll be taken to the "Billing & Settlement Information" page. This page determines where the money from charge events will be sent. To ensure smooth payments, we need this information. By default, the settlement process is turned off. We've set it up for your new organisation based on your parent organisation's settings. If this works for you, proceed and click the "Continue to Select Modules" button.
If the parent organisation has the settlement process on, this setting will automatically apply to any child organisations connected to it. In this case, you need to provide settlement information for the new sub-organisation you are creating. You can do it by copying the parent organisation’s information or filling in the required fields. In case you need to set settlements off for the new organisation (or the parent organisation), please contact our support.
Once the settlement information is set up, you may choose between Default or Custom modules for your organisation.
2.2.1. Default modules
Selecting this option means your new organisation will inherit the same modules access as its parent organisation. This provides a convenient way to maintain consistent modules settings.
2.2.2. Custom modules
Choosing the Custom modules allows you to define specific settings such as General navigation, Station management, Customer, Drivers, Energy, Station Type Management, and Service. This option gives you more control and flexibility to tailor the modules settings according to your organisation’s needs.
Once selected, click "Continue to summary" to apply the changes to your organisation's modules settings. You can now review all the entered information.
In the summary window, carefully review the details and ensure everything is correct. Once satisfied, locate the "Confirm and create the organisation” button and press it. This will initiate the creation process for your new organisation, and you will receive a message confirming that your organisation has been successfully created.
To view, modify, or delete the organisations you created, look for the "View organisations" button at the top left of the page.
You will find the list of all the organisations you have created.
You can choose the organisation you want to work with from the list. Depending on your requirements, you can view the organisation’s details, make modifications, or even delete the organisation if needed.
And that's it! You have successfully created a new organisation. Now, you can manage and customise the settings for your organisation as desired.
